Information Collecting

We look after your personal data by keeping it up to date; by storing and destroying it securely; by not collecting or retaining excessive amounts of data; by protecting it from loss, misuse, unauthorised access and disclosure and by ensuring that appropriate technical measures are in place to protect it.

We store your data on our secure cloud-based service, and we use Outlook for email communications.

We collect various types of information in a number of ways:

For example, when you make enquiries via email, or make a donation, we’ll store personal information you give us such as your name, email address, postal address, telephone number, demographic information and bank information, where applicable. We will also store a record of your payments and donations.

Information about your interactions with us

When you visit our website, for example, we collect information about how you interact with our content and pages.

Information provided by third parties

When donors request that specific schools are to be recieving the Innovabox they may provide us with contact information for representatives. This will enable us to contact the representative and organise delivery.

Why We Use Your Data

There are four bases under which we may process your data:

Contract Purposes

When you join our programmes or make a donation to us, you are entering into a contract with us. In order to perform this contract, we need to process and store your data. For example, we may need to contact you by email or telephone to organise participation in our programmes, or in the case of problems with your payment.

As part of the Innovabox package we may send a newsletter detailing developments in the STEM world or discussing specific events. The number of newsletters will be kept to a reasonable level and can be unsubscribed at any time.

Legitimate Business Interests

In certain situations, we collect and process your personal information for purposes that are in our legitimate organisational interests. However, we take care that the way we use your personal data ensures it does not override your personal interests. We describe below all situations where we may use this basis for processing.

With Your Explicit Consent

For any situations where the two bases above are not appropriate, we will instead ask for your explicit consent before using your personal information in that specific situation.


Cookies are small text files that are automatically placed onto your device by some websites that you visit. They are widely used to allow a website to function as well as to provide website operators with information on how the site is being used.

We use cookies to keep track of your website interactions, as well as to identify how the website is being used and what improvements we can make.

If you visit our teachers section, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login password to prevent you from having to re-enter it. Login cookies last for one week.

How long we retain your data

We will retain your data indefinetly so we can maintain records of donations from customers as well as to keep a record of schools which have taken recieved an Innovabox.

If you wish to subscribe to take part in our programme or donate a box, we will use your name and email address to send communications to you. We will inform you (before collecting your data) if we intend to use your data for such purposes or if we intend to disclose your information to any third party for such purposes.

If you are a representative of a school that has been suggested to us and you do not wish to take part we will remove the data we have and cease contact.

If as a representative of a school you do not wish to receive newsletters as part of the Innovabox package please inform us and we will prevent further communications and remove the data we have.

Access to information

You have the right to access information held about you.

Right to deletion, rectification and data export 

We permit you to delete, rectify and export information you have provided to us, subject to the conditions of our legal obligations set out below.


We retain personal data for as long as we provide services to you or where reasonably necessary to comply with our legal obligations (including law enforcement requests), meet regulatory requirements, maintain security, prevent fraud and abuse, resolve disputes, announce upcoming events you may be interested in, or fulfil your request to “unsubscribe” from further messages from us. Should you choose not to participate in the programme after an expression of interest, none of these obligations apply and we will delete Personal Data within 12 months.

Right to your own likeness

For both still and moving images, we will always ask for consent from you to publish them. Our consent forms are designed to give you total control of how we can use your personal images or videos, and we will always abide by your preferences. As with all consent-based items, you are always allowed to revoke your consent at any time by contacting us via the information below.
